Getting started

Save time through speech recording, then check and edit your notes before keeping care records in one place.

1. Choose a plan

Subscribe to Starter, Growth or Professional securely through Stripe from the Billing page, or book a demo first if you would like a walkthrough. Enterprise is custom pricing.

2. Create your account

  • Select Dashboard in the top menu, then Create an account.
  • Sign up with your email and a password, or continue with Google.
  • Once signed in, Dashboard always takes you to your workspace.

3. Add service users

  • On the Dashboard, fill in the service user form: full name (required), date of birth, type of care, next review date and support needs.
  • Press Save service user.
  • Your plan sets how many service users you can add. Starter allows up to 25; when you reach your limit, the app takes you to Pricing.

4. Record daily notes

  • Open a service user and add a daily record.
  • Save time on typing by pressing Speak instead to dictate. The words appear in the box so you can check and edit them before saving; typing remains available.
  • Saved records build a dated history for that person, alongside their profile and review date in one place to support compliance monitoring and inspection preparation.

5. Use Voice Notes (if switched on)

  • An administrator switches Voice Notes on in Admin and approves the privacy settings first.
  • Choose to record, upload an audio file (up to 14 MB) or type notes.
  • Review the transcript and the AI-assisted draft, then a manager approves it. Approved notes can be added as a new daily record.

6. Use Inspection Readiness (if switched on)

An administrator can switch on Inspection Readiness to organise evidence, track gaps and actions, record practice checks and prepare manager-approved packs.

7. Helpful extras

  • Use the sun/moon button in the menu to switch between light and dark mode.
  • Install CareIntel AI on your phone or computer from your browser's Install or Add to Home Screen option.
  • Knowledge & Compliance in the app menu links to every policy and guide.
